Information Provided by Schools

When a school subscribes to SchoolHelm, the school's administrator provides data including but not limited to: school name, address, contact details, student names, parent/guardian names, phone numbers, email addresses, admission records, attendance records, exam marks, fee payment records, and staff information. This data is provided and controlled by the school.

Information from Parents & Students

When parents or students use the mobile app, we may collect: name, phone number, email, device information, app usage analytics, and payment transaction details (processed by third-party payment gateways).

Website Visitors

When you visit our website or submit a contact/demo form, we collect: name, phone number, email, school name, city, and any message you provide. We also collect standard analytics data (IP address, browser type, pages visited) via cookies.

We automatically collect device information, log data, IP addresses, browser type, operating system, and usage patterns to improve the Service.

2. How We Use Your Information

We use the collected information to:

3. Data Ownership & Multi-Tenancy

The school owns its data. SchoolHelm operates as a multi-tenant platform where each school's data is logically isolated. We do not access, share, or use one school's data for another school's benefit. Schools can request export or deletion of their data at any time.

4. Data Sharing

We do Not sell, rent, or trade personal information to third parties. We may share data with:

  • Payment gateways (Razorpay, etc.) to process fee payments — they have their own privacy policies
  • Cloud infrastructure providers (servers hosted in India) for data storage and processing
  • SMS/notification service providers to deliver messages to parents
  • Legal authorities if required by law, court order, or government regulation

We implement industry-standard security measures including:

  • Complete tenant data isolation at the database level

We retain school data for the duration of the subscription plus 90 days after termination (to allow for data export). After this period, data is permanently deleted. Schools can request immediate deletion at any time by contacting us.

7. Children's Privacy

SchoolHelm processes student data on behalf of schools. We do not directly collect information from children. Schools are responsible for obtaining necessary parental consent for student data as required by applicable laws. Students under 18 access the platform through parent-controlled accounts.

Our website uses essential cookies for functionality and analytics cookies (Google Analytics) to understand visitor behavior. You can disable cookies in your browser settings, though some features may not work properly.

You have the right to:

Any disputes shall be subject to the exclusive jurisdiction of courts in Ranchi, Jharkhand.
